Call recording notice

How calls answered or placed by our AI assistant are recorded and handled. Last updated 24 September 2026.

Who this is about

Leron provides an AI assistant that answers phone calls on behalf of a business (for example a restaurant). When you call a business that uses Leron, that business is the controller of your data and Leron processes it on their behalf, under a data processing agreement. This notice explains what happens to your call.

When you ask Hannah to call you

On leronsystems.com you can leave your name, your restaurant and a phone number, and ask Hannah, Leron's AI assistant, to call you. Tapping Call me confirms the number is yours and is your agreement to that one call, straight away, about Leron. For this call Leron is the controller of your data, and our lawful basis is your consent. You can withdraw it at any time by hanging up, telling Hannah, or emailing us.
  • We keep a record of the request: the number, its country, the time, the exact words you agreed to, and a salted hash of your IP address. We never keep the address itself.
  • Hannah tells you at the start that the call is recorded, and the call is then handled as described on the rest of this page.
  • We call a number at most once a day, only between 8am and 9pm where it rings, and never a number that costs extra to call.
  • Requests are deleted 12 months after they are made.
If someone entered your number without asking you, or you do not want Hannah to call again, email privacy@leron.ai and we will delete the request and the call. We then keep the number, and nothing else, on a do-not-call list so that Hannah never rings it again, for as long as you want that.

What we collect

  • The phone number you call from, and the date and time of the call.
  • A recording of the call and a written transcript of it.
  • Details you give to make a booking or enquiry: your name, contact number, party size, time, and any preferences or requests you mention.

Why we record, and how AI is used

Calls are recorded so the business can take and confirm your booking, answer your enquiry, resolve any dispute, and improve service quality. We also use AI to transcribe and understand the call so the assistant can help you and so the business can review what was said. This AI analysis is a distinct activity from the recording itself, and we disclose it here in line with the ICO's guidance. You are told at the start of every call that it may be recorded.

Our lawful basis

We rely on the legitimate interests of the business in answering and managing its calls, balanced against your rights. We keep a written assessment of that balance.

How long we keep it

We keep conversation history, including call recordings, until you or the restaurant ask us to delete it. That history is the recording, transcript and summary of each call, and any texts, WhatsApp messages or emails.

The same goes for your booking history with the restaurant and details you asked them to remember, such as an allergy or a usual order, so they can look after you properly next time.

To have any of it deleted, ask the restaurant, or email us at the address below. Counts and totals that no longer identify anyone, such as how many bookings a restaurant took in a week, are kept.

Your rights

You can ask us, at any time, to give you a copy of your call data, to correct it, or to delete it. We respond within one month. To make a request, contact the business you called, or email us at the address below and we will action it on their behalf.

Who we share it with

We use a small number of trusted service providers to operate the assistant, each under a data processing agreement: a telephony provider (Twilio), our database host (Supabase, UK region), and AI voice and language providers used to run and transcribe the call. We do not sell your data or use it for advertising.
